  3. Enquiry and client dashboard

Every enquiry in one place, and an alert before one is forgotten

Messages from the site, e-mail and the phone land in one list with a status, a note and an owner. You see at a glance what is new, what is waiting for you and what has waited too long. A tool for a team of one to five people, built in a week, on your own account.

Who it is for

  • Owner who does the sales alone

Enquiries arrive by form, e-mail, Messenger and phone. The dashboard shows which three are open today, so none of them waits until a competitor replies.

  • A small team sharing enquiries

Each enquiry has an owner and a status. Nobody answers the same customer twice and nobody assumes a colleague did.

  • A service with repeat customers

Every customer has a history: enquiries, quotes, visits, notes. The next time they write, you know what you offered last time.

How it works

  1. Enquiries arrive by themselves

Your site form, the guided chat and your mailbox feed the list. Phone calls you add in ten seconds from your phone.

  2. Each one gets a status and an owner

New, replied, quoted, won, lost; or your own words. Notes and files stay with the enquiry.

  3. You see what is waiting

A list sorted by what needs you first, with a coloured age: green today, amber after a day, red after two.

  4. An alert before it is too late

An e-mail or a message when an enquiry has waited longer than you allow, and a weekly summary of what came in and what you won.

What you get

  • A list of enquiries with status, owner, notes and files
  • Customer history: every contact in one place
  • An alert for cases that wait too long, and a weekly summary
  • Works on a phone, with two taps to add a call
  • Export to a spreadsheet at any time; data stored in the EU
  • Access for up to five people, each with their own login

What it connects to

The dashboard reads your site form and chat directly, can read a mailbox, and sends alerts by e-mail or to a chat app. It can hand a won enquiry to Fakturownia, KSeF or Bexio for the invoice and to Google Calendar for the visit. It is not a general CRM: it does one thing, so that a small team actually uses it.

What it costs

A fixed price in writing after we have agreed what comes in and who works with it, before any work starts. No monthly licence and no fee per user: the dashboard runs on your own Cloudflare account, where the free plan covers a small team. Optional monthly care includes backups, monitoring and small changes within 48 hours.

Questions about this tool

Is this a CRM?

Only the part a small business needs: a list of enquiries and customers with statuses, notes and reminders. There are no pipelines to configure, no modules and no sales reports you will never open. If you grow into a full CRM later, the export gives you everything in a spreadsheet, and the enquiry sources keep working.

Where is the data kept, and who can see it?

On your own Cloudflare account, in a database located in the European Union, with daily backups. Each person on your team has their own login, and you can remove access at any time. I work with access you grant and can revoke. Nothing is shared with third parties, and there are no tracking scripts.

Can it read my e-mail?

Yes, for a mailbox you choose: new messages become enquiries, replies are matched to them, and the rest stays untouched. Many teams start with the site form and the chat only, and add the mailbox after a month. Phone calls are added by hand in a few seconds, with a name and a note.
